Role Summary and Strategic Purpose
The Project Coordinator (PC) is the central hub for administrative, organizational, and logistical execution across all technical and infrastructural projects. This is a critical support function that ensures the project team remains on track and operates efficiently, freeing up Project Managers (PMs) for high-level strategic oversight and complex problem-solving.
The PC is responsible for providing unified coordination and assistance across all project locations, including Bay Area sites and Distributed Offices/Overseas projects. The goal is to provide a single, consistent approach for project execution, communication, and data reporting across all specialized workstreams.
Key Tasks and Responsibilities
The PC's primary tasks are centred around logistical and administrative support for the entire project lifecycle, ensuring the successful delivery of complex infrastructure and technology initiatives.
Unified Coordination and Communication:
Serve as the crucial communication link between the PMs, team members, stakeholders, and external departments across different locations and time zones.
Ensure all project teams receive consistent and timely updates.
Manage meeting logistics, including scheduling, preparing, and distributing detailed agendas in advance.
Be adept at using various tools for communication, including video conferencing, chat, and email.
Project Documentation and Workflow Management:
Assist in the creation, maintenance, and distribution of unified project plans, schedules, and financial budgets.
- Provide project document organization through management tools.
- Assist in tracking tasks, setting milestones, and ensuring all project activities are properly documented.
Ensure the team adheres to consistent project management workflows, and documentation standards.
Financial & Resource Management:
Assist with managing project resource allocation, including budget and material tracking.
Utilize designated tools to track and forecast budgets, costs, and resource usage.
Vendor and Procurement Support (Infrastructure Focus):
Assist with onboarding potential vendors.
Obtain quotes and ensure properly quoted (considering all work needed for a particular project).
Data Analysis and Quality Assurance:
Utilize project management software to manage workflows, track progress, and analyze project data (costs, resources, usage metrics for parking initiatives).
Support the continuous review of project deliverables to ensure they meet technical quality standards and customer expectations.
Collect and organize feedback from users and stakeholders on new site enhancements to drive continuous improvement.
Essential Qualifications
A strong candidate for this role will possess a blend of organizational, technical, and interpersonal skills necessary to navigate a complex, multi-site project portfolio.
3+ years of experience in project management or a dedicated project support role is highly preferred.
Strong project management fundamentals, including planning, execution, and monitoring.
Preferred Technical & Foundational Knowledge:
Proficiency in project management software, such as Microsoft Project, Primavera, Asana, or Trello.
Some knowledge of project management methodologies (e.g., Waterfall, Agile, Scrum, Kanban).
Data Literacy: The capacity to use data analysis to inform decisions, measure project success (ROI), and create effective performance reports for senior stakeholders.
Preferred Project Management Methodology:
Encourage a blend of Waterfall for the procurement and installation phases (long, sequential planning) and Agile/Scrum principles for the internal coordination, quality assurance, and feedback collection phases (quick, iterative loops for site enhancements and system testing). The PC would be instrumental in managing this hybrid flow

Strong attention to detail and superior organizational skills.
Ability to work independently, manage multiple priorities, and be a highly effective team member.
Adaptability and Problem-Solving: The ability to adapt to changes, handle unforeseen challenges quickly, pivot strategies when necessary, and summarize key points on demand.
